Frequently Asked Questions
Your rental of the Bear Head Conference Room includes tables (round or rectangular) table linens, security staff, 1 bartender, white or black skirting, podium and mic, setup, clean up and parking.
The Bear Head Conference Room can be divided with a movable wall into an area to hold your ceremony, and reception, or the full room can be used for your reception only. Please note there is an additional charge for room turnover if hosting both ceremony and reception.
The Civic Centre has a listing of caterers in the area who have safe food handling certification. If there is another caterer that you wish to use, please discuss with staff, email [email protected].
A complete bar service is available, and your individual requests can be reviewed upon booking. One bartender is included in rental, additional will be charged @$20/hr. All liquor for events, must be coordinated by the Port Hawkesbury Civic Centre, including wine (corkage fee $6) via email to [email protected]. A listing of product options is available for your selection. An extension to the license may be requested if you wish to go later than 1:00 a.m.
Bar tickets can be provided to event hosts at drink cost + 15% gratuity.
$600.00 + HST, for dinner and reception space, $750.00 + HST for ceremony, dinner, and reception. This is for a full day rental, with last call at 12:30 a.m. Also, if there is not a booking in the room the day prior, we will make every effort to have the room ready so that you can start your decorating. If you wish to have the room reset for your ceremony, additional fees will apply.
All decor and belongings must be removed the night of the event/wedding unless prior arrangements have been made with staff.
There is a charge of $2.00 per person, which is charged to the caterer. This includes all linens, dishes, stemware, cutlery and full access to the kitchen. When you are booking your caterer from our preferred list, they are aware of this fee, and in most cases have added it to the price that they have quoted to you. You may, however, wish to confirm this with the caterer during your discussions.
If your caterer is not known to us or hasn’t catered here before, we will require copies of their certifications, and the plating charge will be charged directly to your rental invoice. Extra cleaning charges will be applied if the kitchen is not fully cleaned (including floors and all surfaces) and dishes washed and stored away.
